Pourfolio provides bottle keep software to bars and restaurants. This policy explains what we hold about guests whose bottles are stored by a venue using Pourfolio, and about the staff of those venues.
The venue decides what to collect and why. Pourfolio processes that information on the venue’s behalf.
What we hold about guests
Name and mobile number, given to venue staff when a bottle is stored. What was stored, how much remained, where it is kept and when it expires. Photographs of the bottle taken at deposit, which record its fill level. A record of each deposit, collection and return.
We do not hold guest payment card details. Where a venue offers paid storage extensions, payment is handled by Airwallex and card details never reach our systems.
How guests consent to messages
A guest gives their mobile number to venue staff in person, at the point their bottle is stored, in order to receive a record of it. That is the consent, and it is given directly to the venue rather than collected online or bought from anyone.
Messages are limited to the guest’s own bottles: a receipt when one is stored, an updated balance when they drink from it, reminders before it expires, and replies about table requests they initiated. Messages are sent under the venue’s name.
A guest can ask any venue holding their bottles to stop messaging them, or to delete their record entirely, and the venue can action both.
Who we share it with
Service providers who make the product work: Google Firebase for storage, Vercel for hosting, Twilio and Green API for WhatsApp delivery, Airwallex for payments, and Anthropic for reading bottle labels from photographs. Each receives only what its function requires.
We do not sell personal information, and we do not use it for advertising.
Where it is held
Guest and bottle records are stored in Singapore. Photographs and some infrastructure may be processed elsewhere by the providers above.
How long we keep it
Bottle records are retained while the bottle is stored and for a period afterwards, so a venue can answer questions about a bottle that has been collected or has expired. Backups are retained for up to 98 days.
Guest rights
Guests may ask what is held about them, correct it, or have it deleted. The quickest route is the venue holding the bottle, since they hold the relationship. You can also write to us at hello@pourfolio.com.
Venue staff
We hold names and email addresses for venue owners and managers, and the names staff enter on the deposit screen, which exist so a venue can see who handled which bottle.
Changes
We will update this page when the product changes in a way that affects it, and the date above will change with it.
